About the Role / 役割について

We are seeking a Travel Experience & Client Relations Coordinator to support Japan Awaits’ inbound travel business, with a focus on travel agency relations, client communication, proposal planning, and business development support.

This role is ideal for someone who is organized, proactive, client-facing, and comfortable communicating with overseas travel agencies, partners, and international clients. The position involves supporting agency inquiries, preparing travel proposals, following up on sales opportunities, coordinating with internal teams, and helping create travel experiences that are attractive, realistic, and operationally sound.

The ideal candidate understands Japan travel, international traveler expectations, and the importance of clear communication, accurate documentation, and strong partner relationships. This role may also support staff coordination and task management in the future, so maturity, structure, and leadership potential are important.


Key Responsibilities / 職務上の責任

  • Support business development efforts with overseas travel agencies, partners, and potential clients.
  • Communicate professionally with travel agencies and clients regarding Japan travel experiences, itinerary options, service details, and planning needs.
  • Assist with sales follow-ups, proposal preparation, quotations, and client communication.
  • Organize agency or client inquiries into clear next steps by confirming needs and coordinating internally.
  • Research destinations, seasonal trends, cultural experiences, travel routes, and market opportunities for international travelers.
  • Support the planning and improvement of tours, itineraries, and travel experiences based on client needs, market demand, and operational feasibility.
  • Maintain client, agency, and partner information in trackers, documents, CRM-style systems, or shared workspaces.
  • Review guest, agency, and booking feedback to identify improvement opportunities.
  • Support the rollout of new travel products, agency-facing materials, and client proposals.
  • Create SOPs, checklists, templates, and process improvements for client relations and business development workflows.
  • Support staff task assignment, progress tracking, and quality checks as the team grows.

Requirements / 求める人材

  • Fluent English and business-functional Japanese, ideally JLPT N3/N2 level or above.
  • At least 4–6 years of professional experience in tourism, hospitality, client relations, business development, sales support, travel agency coordination, customer success, project coordination, event planning, operations, or travel management.
  • At least 5+ years of lived experience in Japan, with a practical understanding of Japanese culture, travel logistics, destinations, transportation, and hospitality expectations.
  • Experience working with international clients, overseas partners, travel agencies, schools, companies, or B2B customers is strongly preferred.
  • Strong organizational skills and high attention to detail.
  • Able to manage follow-ups, deadlines, documents, trackers, and multiple moving parts.
  • Clear and professional communication style with both internal teams and external partners.
  • Proactive, reliable, solution-focused, and able to take ownership without constant reminders.
  • Strong interest in inbound tourism, Japan travel, cultural experiences, and international guest expectations.

  • Professional and polished client-facing presence suitable for representing Japan Awaits externally.
  • Good business sense and understanding of what travel agencies and clients value: trust, speed, clarity, accuracy, pricing, itinerary quality, and reliable delivery.
  • Ability to explain Japan travel clearly to people outside of Japan.
  • Comfortable preparing simple proposals, itinerary notes, partner summaries, and internal updates.
  • Process-oriented and able to help build better workflows, templates, and tracking systems.
  • Calm under pressure and careful not to overpromise in external communication.

Tools & Systems / ツールとシステム

  • Proficiency with Google Workspace, especially Google Docs, Google Sheets, and Google Drive.
  • Comfortable using Excel, CRM-style trackers, task management tools, and shared documentation systems.
  • Experience with travel, booking, or customer management systems is a plus.

Preferred Qualifications / 歓迎条件

  • Background in hospitality, tourism, travel agencies, luxury travel, event planning, business development, sales support, client relations, or partner relations.
  • Experience supporting proposals, quotations, sales follow-ups, or B2B client communication.
  • Experience designing, coordinating, or supporting tours, itineraries, cultural experiences, or guest-facing programs.
  • Ability to speak naturally about Japan, including culture, etiquette, food, regions, transportation, seasonal travel, and common traveler expectations.
  • Experience supervising interns, junior staff, or project assistants is a plus.
  • Candidates who already have the legal right to work in Japan are preferred; however, visa sponsorship may be considered for the right candidate after the probationary period if necessary.
